SEO report template: a monthly report to copy
A monthly SEO report template with the sections clients and managers read, a copyable outline, and how to save it as a reusable report template in zaDojo.
A good monthly SEO report answers three questions on its first screen: did organic search bring more of the right visitors, why, and what happens next month. Everything else is evidence. The template below follows that order: a summary, traffic and conversions, rankings, technical health, work done, and the plan, in that sequence and in one page someone can read on a phone.
Copy the outline, fill it in by hand, or save it in zaDojo so an agent writes the same report every month.
What the reader wants
- A client or manager wants to know if the money is working. Lead with outcomes (visits, leads, sales) and a one-line verdict. SEO pricing explains what they are paying for.
- A marketing team wants to know what to do. Give each finding an action and an owner.
- Nobody wants forty charts. If a number does not change a decision, leave it out.
The template
Copy this into a doc, or into the instructions of a zaDojo report template.
MONTHLY SEO REPORT: [Site or client], [Month YYYY]
1. Summary (5 bullets max)
- Verdict in one line: better, worse or flat, and the main reason
- Organic visits vs last month and vs same month last year
- Organic conversions (leads, signups or sales) vs last month
- The biggest win
- The biggest risk, and what we are doing about it
2. Traffic and conversions
- Organic sessions, clicks and conversions, month over month and year over year
- Top 5 landing pages by organic clicks, with change
- Pages that lost the most clicks, with the likely cause
3. Search visibility
- Search Console: total clicks, impressions, average position, CTR
- Queries that gained or lost the most clicks
- Tracked keywords: how many moved into the top 3, top 10, and out of the top 10
- AI answers: prompts where we are mentioned or cited, and where competitors are instead
4. Technical health
- Indexed pages vs last month, and any new indexing errors
- Core Web Vitals status
- Issues found this month and whether they are fixed
5. Work completed
- Pages published or updated, with links
- Technical fixes shipped
- Links earned
6. Next month
- 3 to 5 actions, each with an owner and the result we expect
7. Notes on the data
- Sources, date ranges, anything we could not measureTips for each section
- Compare against last year as well as last month. Seasonal businesses look like they are failing every January otherwise.
- Separate clicks from rankings. A keyword can climb and still bring no visitors if the results page is full of ads or an AI Overview.
- Report AI answers as rates. Mention rate and citation rate across a fixed set of questions say more than one screenshot. What AEO is explains both numbers.
- Explain drops. A known cause (a holiday, a site migration, a Google update) is a finding. An unexplained drop is a task for next month.
- Show work done next to results. It connects effort to outcome without overclaiming. SEO changes often take weeks to show up, so say so.
- Keep the plan short. Three actions that happen beat ten that do not.
Build this report in zaDojo
zaDojo saves reports per project as self-contained pages you can read in the app, print to PDF or share by link. To make the monthly report repeatable:
- Open your project's Reports page, then Templates, and create a template. Give it a name (for example "Monthly client update"), a short description, and paste the outline above into the instructions. Add who reads it and the tone you want.
- Connect Search Console and Google Analytics to the project so the agent can read clicks, queries and conversions. Those reads use no credits. The Google Analytics MCP guide and the Search Console dashboard guide show what each connection can read.
- Ask your agent for the report by the template's name:
For the Acme project, check this month's Search Console and Analytics data,
then write the Monthly client update report. The agent follows the template's sections, audience and tone, and saves the report with a summary. The SEO Report skill explains the details. To send it, open the report, click Share and turn on Public link. Anyone with the link can read it without an account, the page is hidden from search engines, and turning the switch off stops the link working.
Writing, saving and sharing reports cost nothing. Any paid data the agent pulls for the report, such as keyword or AI prompt checks, is charged as listed in the MCP guide. Scheduled rank tracking is paused on the hosted app at the moment, so ranking sections rely on Search Console positions and manual checks.
Templates belong to one project. To reuse one for another client, ask the agent to copy it into that project. Reports carry zaDojo's layout; there is no white-label option. See SEO tools for agencies for how this fits a client workflow.
Questions people ask
What should be in an SEO report?
Organic traffic and conversions, search visibility, technical health, the work done and the plan for next month, with a short summary on top. Leave out metrics that do not lead to a decision.
How often should I send an SEO report?
Monthly suits most clients, because Search Console and ranking data are noisy week to week. Send a short note in between only when something breaks or a big change ships.
